All bidders experience that anxious time between tender submission and notification of the outcome. This is a valuable time for your team to reflect on the process and identify opportunities for improvement. From bid close to just after award, here are some suggestions to ensure you continually improve on your process.
1. Hold a debrief with your team
An internal debrief is especially useful for everyone involved in the bid from the writers to the estimators. For larger submissions it is worth distributing a questionnaire asking for objective feedback. Once you have this, get everyone together and work through it. Questions can be related to the overall strategy to the process.
If you have time, ask team members to carry out an evaluation of the bid. This will be an especially interesting exercise once the results are out where you can assess how you think you did against your actual scores.
The most important part of this exercise is to capture feedback and ensure that good suggestions are implemented to improve the process next time round.
2. Build your attributes library
This is a good time to make sure you have filed all the new material developed for your bid. Use the time to either create or update project sheets and CVs. A library of great base material makes the writing process so much easier for everyone.
3. Always request a feedback meeting
Whether you win or lose, always request a feedback meeting with the buyer. Their feedback is gold and will provide you with essential insight into what worked for them and what did not.
Irrespective of the outcome, this is also a good opportunity to build a relationship with them so in the next round of bidding, they will know you a little better and will be keen to see if you have taken on board their recommendations.
4. Losing can be also be valuable
We have all had to dust ourselves off and keep on bidding. It is the nature of the beast. What is important is to understand why you lost and make sure those lessons are observed in all bids going forward.
